About the role :

  • Receives phone calls, takes messages and directs calls from a range of stakeholders such as clients, other law firms, government departments, prospective clients, and insurance companies;

  • Manages mail and parcels both incoming and outgoing

  • Coordinates the client arrival and meeting process including preparing meeting rooms for meetings (including teleconference set up) and cleaning and tidying meeting rooms

  • Acts as the central point of contact for the organisation. E.g. for suppliers and also internal technology enquiries, maintenance and repairs such as Fuji, Xerox, Telstra  

  • Administers archiving process for closed case documents and sends to national storage if appropriate

  • Participates in ad hoc jobs and general office support 

  • Coordinates ordering of office supplies 

  • Sends out new employee documents and manages the onboarding of new employees

  • Handles accounts payable and receivable 

  • Any other reasonable duties as required

Qualifications, Skills and Experience

  • Previous experience in a Receptionist or Administration Support role within a law firm or office environment

  • Excellent telephone manner 

  • Strong written and verbal communication skills

  • Professional appearance

  • Chinese/Korean Language skill (preference) 

  • Proficiency in Microsoft Office Suite (Word and Outlook)

  • Strong organisational and time management skills

  • Have current Driver’s Licence and reliable vehicle

  • Previous experience in practice management system such as LEAP, MYOB (Preference) 

  • Over 1 year of work experience

Job Type: Full time permanent

Salary: Upon offer (Be aware of the Australian minimum wage of AUD20.33/hr)
